unless yoru open vpn server is your default GW. or your OPENVPN server is doing NAT, you will need to either add a route on your GW, or add routes to all your servers so that packets for your open vpn client IPS wind up at the openvpn server

first off why do you use root? that is just asking for trouble. you really should use a non priv user, and then use something like sudo when you need elevated privs (much safer that way, and since you are asking about permissions, I am guessing you are not a seasoned unix admin). In order to answer your question we will need to know what kind access apache needs to the secure sites, are they running scripts/just straight html? does it need write access, or read only access? Do you already have groups setup?

contact your VPS provider. It is entirely possible that you are behind some sort of Load Balancer/proxy. as opposed to being directly connected to the internet. They should be able to tell you the config. without this information it will be very hard for us to figure out how to help. since the problem is most likely upstream from you..

Only issue with multiple devices simultaneously accessing pop3 accounts. is that depending upon the backend storage mechanism there could be file locking issues. If the SP doesn't offer IMAP as indicated by OP, it is likely that they are using something like MBOX files and locking is going to be bad with multiple accounts accessing it concurrently.

client cache servers (unless they are doing some add negative caching) should be pretty quick to pick up new record. You could be looking at propagation delays between your primary and secondary authoratative servers. For example you add it to NS1, and it takes a bit to get to ns2 (I don't know how many auth servers you have). but the client then asks for the url and it hits n2 which doesn't have the records yet. Does your NS infrastructure support NOTIFY for zone updates to propagate? are they your NS servers are they hosted by someone else?
